Why Most Venues Now Require Event Insurance
Hotels, country clubs, banquet halls, museums, and most event venues now mandate $1M-$2M General Liability with the venue named as Additional Insured. Reasons: rising liability claims, alcohol-related incidents, and venue insurance carriers requiring this language. No proof of coverage = no event. Cost is reasonable: $200-$500 for a typical wedding, $1,500-$3,000 for a 500-person conference.
Liability vs Cancellation Coverage
Event Liability (GL): protects you (the host) from third-party claims — guest injuries, property damage to venue, host liquor liability. Almost always required by venue. Event Cancellation: reimburses non-refundable deposits if the event must be cancelled due to covered cause (key-person illness, severe weather at venue, venue bankruptcy). Optional but smart for events with $10K+ in non-refundable deposits.
What's Usually Excluded
Pandemic / communicable disease: nearly all policies exclude this after 2020-2022. Vendor failure (caterer no-show, DJ cancels): usually excluded unless vendor was specifically scheduled and failed within X days. Weather at attendee location (not venue): usually excluded. Voluntary cancellation: never covered. Pre-existing conditions of insured (key person already ill at policy purchase): excluded. Read the cancellation perils list carefully.
Event Insurance Mistakes That Cost Hosts
(1) Buying liability without naming the venue as Additional Insured — venue contracts require it; coverage without AI status may not satisfy the venue. (2) Skipping liquor liability when alcohol is served — host liquor is included if alcohol is served free; if guests pay (cash bar) you need liquor licensee liability. (3) Not reading the cancellation perils list — most policies exclude pandemic, voluntary cancellation, and weather at attendee location. Read the perils list, not the marketing copy. (4) Buying day-of — many policies require purchase 14+ days before event; last-minute purchase isn't always possible.
